Administrative Specialist CL3: Osher Map Library and Smith Center for Cartographic Education (OML SCCE)

The University of Southern Maine is seeking applicants for the full-time, hourly position of Administrative Specialist CL3 in the Osher Map Library and Smith Center for Cartographic Education (OML SCCE) located in the Glickman Family Library on the Portland campus.  This position is Monday – Friday, 8:00am – 4:30pm, with occasional Saturdays to accommodate gallery visit appointments, as necessary.  The position reports to the Executive Director of the OML SCCE.

The Administrative Specialist CL3 provides administrative and complex clerical work for the OML SCCE, with a strong emphasis on customer service, organization, and follow through.  The person in this public-facing position will be responsible for managing the day-to-day activities of the OML SCCE, including playing a key role in: event planning and coordination; administrative support for gallery exhibits, digitization projects, and educational programs; communication with a variety of Boards and other key stakeholders within the University and externally; project management for a variety of activities (in collaboration to the Executive Director), as well as all day-to-day financial activities for OML SCCE.  This position works collaboratively in a small team environment to support the mission and services of the Osher Map Library and Smith Center for Cartographic Education, especially in regards to education and outreach at the K-16 levels and lifelong learning.  Independent judgment and initiative are frequently exercised. This Administrative Specialist works with other staff on library marketing (including monthly e-newsletters), social media, and website activities and content. This position has extensive in-person, telephone, and online interactions with students, faculty, staff, researchers, donors, and the general public, and utilizes a wide range of resources in a variety of formats. The employee assists with the hiring and supervision of a variety of student employees.  The OML SCCE is currently working on a variety of initiatives related to equity, race, and social justice in mapping and cartography, and the Administrative Specialist will also play a key role in our work in this area, which includes internal processes and professional development, as well as external programming, teacher workshops, etc.

Pay at start step = $15.99 per hour.  Internal applicants will carry over their current pay if at CL3 level or receive an increase if at a CL2 or  lower level. Required:

  • 60 credits or more of higher education or equivalent work experience and training
  • Three years administrative support experience
  • Ability to manage multiple tasks and prioritize
  • Ability to work successfully with many people at all levels
  • Customer service experience
  • Experience working in various computer environments
  • Excellent verbal and written communication skills

Preferred:

  • Experience in a confidential, secure, or executive office setting performing a wide range of tasks and working with limited supervision
  • Experience in an academic and/or library setting
  • Event planning and event management experience
  • Experience in a fast-paced environment and working in a team-oriented office
  • Experience working with donors
  • Experience assisting with Annual Reports
  • Knowledge of MaineStreet, MaineStreet Marketplace, Peoplesoft, Financials, contracts and procurement, invoicing, Concur, and web CMS, or similar programs
  • Project management experience (including collaborative work in the Google Suite of applications)
  • Marketing and Social Media experience (Campaign Monitor, Instagram, Facebook)
